Job Purpose:
Perform, control, document, translate, and track administrative tasks to ensure the smooth functioning of administrative operations and document organization within the department.
Major Accountabilities:
- Responsible for receiving sales maps from distributors.
- Manage relationships with customers and suppliers, facilitating communication and handling administrative matters.
- Agenda Management: Organize and maintain executives’ schedules by coordinating meetings.
- Manage department investments and expenses, including registration for training courses.
- Document Organization: Maintain organized physical and digital files, ensuring documents are easily accessible.
- Project Support: Assist in coordinating projects, monitor deadlines, and help organize meetings.
- Support miscellaneous tasks by collaborating on other administrative duties as needed, being a multifunctional member of the team.
- Must be communicative, dynamic, and adaptable.
- Proficiency in Word, Excel, PowerPoint, and other office tools.
Minimum Skills Required:
- Communication, Organizational Skills, and Flexibility.
Minimum Education:
- Preferred education in Marketing, Economics, Administration, or related fields.
Languages:
- Intermediate to high level of English (reading and writing).

Summary
The Sales Administrative Assistant primary role is to perform general office duties to support Sales Managers and Directors where needed. The Sales Administrative Assistant will assist Managers with administrative duties including, but not limited to, processing leads, customer interactions via phone, email, and in-person, supporting site visits, contract and proposal preparation, processing reports, and supporting the sale process. Furthermore, they will communicate to other departments as directed by Managers and assist with any other administrative tasks in order to successfully execute the task/contract from beginning to end. The ideal candidate will demonstrate strong customer service skills, initiative, time management, and ability to meet deadlines. This position reports to the Director of Sales & Marketing and Associate Director of Sales, is full-time and on-site at the Grand Hyatt Barcelona.
