Position Summary
In this diverse and pivotal role, you will ensure the smooth running of our office, provide dedicated support to our leadership team, and coordinate travel and events.

Responsibilities
Office Manager
- Maintain efficient office operations by managing supplies, weekly food orders, and bi-weekly team lunches.
- Oversee health and safety standards, and general upkeep to ensure a productive work environment.
- Coordinate with the maintenance, and facilities teams.
- Manage courier bookings and tracking.
- Plan and execute team events, including summer/Christmas parties, offsite conferences, and workshops.
- Manage calendars, inboxes, and meeting preparations, including creating agendas.
- Maintain documents, files, and reports.
- Assist with internal communications such as Townhalls and newsletters.
- Take minutes, track action points, and ensure timely follow-ups.
- Support the Chief of Staff and CTO with ad hoc tasks, research, meetings and travel.
- Organize car rentals and leases and oversee courier bookings.
- Collaborate with various departments on operational and people-related tasks as required.
- Arrange travel logistics, including flights, trains, transfers, and accommodations.
- Manage visa/ESTA applications and track approvals.
- Oversee travel budgets, expense management, and worldwide travel insurance.
- Implement and manage the company’s travel platform and liaise with local hotels to secure corporate rates.
- Prepare travel itineraries, event guides, and coordinate guest/client travel.
- Support event planning, including research, budget tracking, and on-site coordination.
- Solid and proven experience in a similar role
- Bachelor’s degree in Business Administration, Management, or a related field preferred.
- Native level of English is a must and fluent level of Spanish (nice to have).
- Exceptional organizational, analytical and time-management skills.
- Experience in fast-paced, dynamic environments with the confidence to handle change effectively.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and prioritize tasks.
- High level of attention to detail and accuracy.
- Proven ability to handle confidential information with discretion.
