How You Will CELLebrate
he Travel Management Specialist is responsible for implementing and managing the company’s travel program, ensuring efficient and compliant handling of travel expenses. This role will also manage the administration of company cars and log pay, ensuring proper documentation, cost control, and alignment with company policies.
- Definition and implementation of travel process at PowerCo to ensure seamless alignment with Headquarters regarding international travel policies and systems.
- Establish and manage a global travel management system by integrating it into existing HR platforms (e.g., SuccessFactors) or rolling out new platforms in coordination with HQ and local stakeholders.
- Coordinate external suppliers of travel arrangements for employees, ensuring cost-effective solutions for business trips, including flights, accommodations, ground transportation, and meals, while providing high-quality service to meet employee needs.
- Monitor travel expenses and provide reporting of travel expenditures, identifying trends and providing regular reports to management regarding the effectiveness and compliance of the travel program.
- Close collaboration with Finance to monitor and control travel budgets and car fleet by tracking expenses, staying within budgetary constraints, and identifying potential savings opportunities to ensure efficient use of resources.
- Ensure compliance with travel expense policies by reviewing and approving travel expense reports, ensuring that all expenses are in line with company guidelines and regulations.
- Control the company car fleet by overseeing the assignments, maintenance, and usage of company vehicles, to ensure proper documentation completion (e.g., car logs, mileage records), cost tracking, and adherence to policies.
- Administer the log pay system by ensuring accurate tracking of employee mileage and fuel expenses related to company car usage and processing log pay submissions to ensure proper reimbursement according to company guidelines.
- Review and optimize the travel program by assessing current practices, identifying opportunities for cost savings, and recommending improvements to enhance the efficiency and effectiveness of travel and fleet management.
- At least 6 months of intern within HR Department
- Business Administration, HR or similar field.
- Proficiency in English.
