Our client, an international HNW family who have recently relocated to Madrid, are looking for a proactive and capable Bilingual (Private) Personal Assistant to join their tight knit, growing Family Office team.
The remit for this position will include:
- Proactively anticipate the needs of the family, learning preferences and incorporating these into all aspects of day-to-day routine
- Act as key facilitator for personal needs. Developing close working relationships with Family Office team, Corporate Executive Assistants,
- Security and wider team to improve scheduling and organisation
- Private Agenda management: Restaurant booking, confirming event attendance, close coordination and liaison with corporate Executive
- Assistants to ensure cohesion
- Travel management: point to point travel arrangement with drivers in all countries and private and commercial aviation (passports, visas), often
- subject to last minute changes
- Correspondence Management: Assist with preparation and responses to correspondence accordingly and according to necessary protocol
- Coordinate purchases for individuals and relevant supplementary documentation, deliveries, returns, managing and tracking shipments etc.
- Ad hoc requests for individuals as required
- Update and manage contacts
- Ad hoc requests for individual and wider family as required
- Coordinate and assist with local administration and necessary paperwork
- Coordinate local payments for local service providers
- Recommend local services, coordinate and onboard if necessary (chef,cleaning, etc.)
- Assist with household administration (cleaning, utilities, alarm system, repairs, sourcing items for property, etc).
- Organise local appointments (restaurant bookings with preferences in mind)
- Oversee and coordinate relevant local insurance policies
- Coordinate any local medical needs and appointments
- Manage elements of family travel, research and book hotels with personal preferences in mind
- Correspondence Management: Assist with local correspondence in Spanish (schools, local services)
- Personal errands: post office, oversee house when family travelling
- Assist with basic language translation and cultural integration as needed
Candidates must have a bilingual level of English/Spanish, whilst additional languages will be viewed favourably. A relevant University degree and prior experience in a Private PA/Family Office environment is a prerequisite for this role. The chosen candidate must be Tech native/savvy (iPhone, Mac, Google Workspace, Microsoft 365, VC Software, etc.).
The ideal candidate will be flexible and able to adapt quickly to changing priorities and demands. They will enjoy working at pace and enjoy providing solutions quickly and efficiently. Local knowledge and contacts will stand the chosen candidate in good stead for this position.
Location - Madrid, Barrio Salamanca
Salary - Dependent on Experience
Timetable - Broadly 10..00 - 18.00h however flexibility required
Hybrid/On site: Based between Office and Household
