Kaplan Languages Group looking to recruit an Office Coordinator at our Head office Barcelona. We’re an international education company with a diverse, multilingual head office team working across a range of functions including accounting and finance, student admissions, marketing and sales, HR and IT.

In this exciting role, you will work to ensure that the daily functioning of our head office is effective and efficient – from welcoming visitors and answering phones to helping to despatch business post and ensuring successful meetings and events within our office. Importantly, you’ll ensure that everyone you interact with – whether external visitors or internal staff – receives a warm welcome and a helpful, supportive service. You’ll be at the centre of the office culture, working with employees and managers to make our head office an engaging, exciting, and welcoming place to be. The role will also provide an opportunity to support our HQ based sales and customer care teams, managing administrative tasks and business processes to support the student booking processes.

Office Coordinator main responsibilities and functions:

  • Be a welcoming first point of contact for all visitors
  • General administrative tasks (e.g. distribute mail and company emails)
  • Organise courier shipments, pick-ups, store deliveries & outgoing mail
  • In charge of the regular breakfast and fruit delivery to the office for our staff
  • Create all new cards for the staff.
  • Purchase all office material staff needed.
  • In charge that the coffee points are equipped and running properly.
  • Help coordinate staffing events on site and outside using onsite/external catering
  • Support on Book taxis/accommodation for visitors/staff when needed.
  • Order stationery
  • Organize events for the staff and meetings.
  • Liaise with local services providers and authorities.
  • Prepare general office communications and NewsLetter
  • Support the Sr HR Business partner with HR administrative tasks and event management when needed
  • Support the HR and Finance Department for Payroll and administrative tasks (account all invoices, reconcile Petty Cash, process employees’ expenses, etc.)
  • Any ad-hoc tasks as required

  • Proficiency in MS Office Suite and good typing skills

Schedule: from Monday to Friday 9.00h to 13.30h and 14.30h to 18.00h (Office based job)
