Executive Personal Assistant
Role: Full-time, permanent
Location: Barcelona, Spain
The Role:
We’re looking to hire a highly organised and efficient Executive PA to provide a broad range of support to our EU Management team and reporting to our Global SVP.
Working in a fast-paced and changeable environment, you’ll provide high-level administrative and organizational support, ensuring the executive's time, activities and priorities are effectively managed, undertaking a range of administrative duties to provide accurate, efficient and timely PA support.
In addition to solely assisting management to achieve their daily objectives, main duties include diary management, travel arrangements, handling expenses and maintaining effective systems to ensure the smooth running of all day-to-day tasks. Organising planned and ad hoc meetings and conferences, you’ll circulate required documentation in advance, take accurate minutes, and provide support for action points. Acting with discretion at all times, you’ll manage legal documents, collecting required signatures and taking any urgent action to ensure all deadlines are met. As the Executives’ gatekeeper, you’ll proactively action any appropriate tasks on their behalf, including responding to information requests and supporting in administration; in addition, you’ll prevent wasted time and missed actions by quality checking work and monitoring relevant emails and itineraries. Being the interface between Senior Management, you’ll build strong relationships with key stakeholders across the business in order to build trust, inspire confidence and command respect.
The Person:
- Previous experience in a busy PA position is essential
- Exceptional administration and organisation skills with a sound understanding of business, and a quick understand of which tasks are important and how to prioritise conflicting deadlines is crucial
- A positive and proactive approach, with excellent communication and interpersonal skills, fluent in Spanish with a good level of English, and the ability to manage a diverse mix of personalities and relate to people at all levels.
- With excellent literacy, numeracy and IT skills, and a strong attention to detail and sound knowledge of Microsoft Office, SharePoint and other related systems.
- Experience in the pharmaceutical industry and a degree level qualification would be beneficial, but not essential.
- Able to work flexible hours with personal resilience to oscillating workloads
